Job Description:


Administrative Assistant is to provide administrative support to a group of consultants within our Retirement Administration Center. To fulfill this role, the Administrative Assistant will:


o Work with up to 14 analysts to complete daily tasks for several different clients.

o Work with Group Leader to manage day to day team and client activities

o Work with other Processing Assistants to get all client related activities completed each day

o Provide word-processing support

o Complete mail merges, edit and proofread participant letters and forms

o Create client benefit packets and house and manage frequently used forms

o Maintain electronic file records

o Keep filing and documentation up to date

o Handle sensitive information

o Manage and complete internal and external project assignments

o Handle team scheduling

o Provide client invoicing and time keeping support

o Exercise judgment and make decisions to promote smooth workflow in the team and ensure that client demands are met

o Keep team members informed of information that affects workflow and service delivery

o Provide on-going communication with peers and client teams regarding status of work and processes

o Ability to work in an extremely fast paced environment and manage several client tasks simultaneously.


Qualifications:


o Three to five years'' of administrative assistant experience or related educational experience for an Administrative certificate or degree

o In-depth knowledge of the administrative procedures and tools required to support an individual and group

o Proficiency in Microsoft Office, with demonstrated expertise in Word, Excel and PowerPoint, particularly merging and proper formatting of documents

o Strong organizational skills and detail oriented

o Ability to work well under pressure, juggle tasks (both client and group-related) and work efficiently against deadlines

o Ability to prioritize multiple projects and adjust workload accordingly

o Ability to be flexible and solution oriented

o Can demonstrate problem solving and judgment capabilities

o Excellent oral and written communication skills

o Exceptional interpersonal, organizational, business communication and time management skills

o Willingness to learn and adapt to new responsibilities

o Experience in a consulting environment preferred

o Demonstrated diplomacy in dealings with service areas, consultants, and clients.
